MAD-HR is committed to protecting the privacy and security of your personal information. We take care to protect the privacy of our customers and users of our products that communicate online with us, through website and social media platforms.

We have therefore developed this privacy policy to inform you of the data we collect, what we do with your information, what we do to keep it secure as well as the rights and choices you have over your personal information

How we use your information

This privacy notice tells you what to expect when MAD-HR collects personal information.

Visitors to our website

When someone visits www.mad-hr.co.uk, we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it.

Use of cookies by MAD-HR

Cookies are small text files that are placed on your computer by websites that you visit.

They are widely used in order to make websites work, or work more efficiently, as well as to provide information to the owners of the site.  Most web browsers allow some control of most cookies through the browser settings for ease we have installed Cookiebot which enables you to set them or just accept.

Search Facility

Our website is published via WordPress. Search queries and results are logged anonymously to help us improve our website and search functionality. No user-specific data is collected by either MAD-HR or any third party.

Email Correspondence

We use a third party provider, DRIP, to deliver our e-newsletters. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter.

Security and performance

MAD-HR uses a third party service to help maintain the security and performance of the MAD-HR website. To deliver this service it processes the IP addresses of visitors to the MAD-HR website.

Social media

We use a third party provider to manage our social media interactions.

If you send us a private or direct message via social media the message will be stored for three months. It will not be shared with any other organisations.

People who call us

When you call MAD-HR we record the number on Capsule. We use this information to help improve our efficiency and effectiveness.

People who email us

We will also monitor any emails sent to us, including file attachments, for viruses or malicious software. Please be aware that you have a responsibility to ensure that any email you send is within the bounds of the law.  These emails are stored on Capsule.

What information do we ask for, and why?

We do not collect more information than we need to fulfil our stated purposes and will not retain it for longer than is necessary.

You are under no statutory or contractual requirement or obligation to provide us with your personal information; however we require at least the information above in order for us to deal with you as a customer or service user in an efficient and effective manner.

The legal basis for processing your data is based on your specific consent at the point the information was initially provided, therefore we will not store, process or transfer your data outside the parties detailed above unless we have an appropriate lawful reason to do so.

For example:

  • If the law or a public authority says we must share the personal data;
  • If we need to share personal data in order to establish, exercise or defend our legal rights (this includes providing personal data to others for the purposes of preventing fraud and reducing credit risk); or
  • From time to time, employ the services of other parties for dealing with certain processes necessary for the operation of the Website. However, all the information we share will be collected and anonymised, so neither you nor any of your devices can be identified from it.

How long we retain your data

We retain a record of your personal information in order to provide you with a high quality and consistent service. We will always retain your information in accordance with the General Data Protection Regulation (GDPR) and never retain your information for longer than is necessary. Unless otherwise required by law, your data will be stored for a period of 2 years after our last contact with you or some other identifiable action or period, at which point it will be deleted.

Under GDPR, you have rights as an individual which you can exercise in relation to the information we hold about you.

Right to Access Your Personal Information

  • You have the right to access the personal information that we hold about you in many circumstances, by making a request. This is sometimes termed ‘Subject Access Request’. If we agree that we are obliged to provide personal information to you (or someone else on your behalf), we will provide it to you or them free of charge and aim to do so within 30 days from when your identity has been confirmed.
  • We would ask for proof of identity and sufficient information about your interactions with us that we can locate your personal information.
